The Event Cover Photo: What It Actually Does

An event's cover photo is not decoration. It is what sits at the top of the guest gallery and what every social app shows when someone shares the event's link, on every paid plan, no Event Branding required.

The Event Cover Photo: What It Actually Does

In short: The cover photo you set for an event does two jobs at once: it sits at the top of the guest gallery page, and it is the image every social app pulls when someone shares the event's link. It comes with every paid plan, STARTER included, and it is not part of Event Branding.

Every event has a cover photo field in its dashboard, and it is easy to treat it as the one piece of decoration on an otherwise functional page. It is doing more than that. It is the image a guest sees first when they open the gallery link, and it is also the image that shows up in a WhatsApp preview, a Facebook share, or a LinkedIn post, before anyone has clicked through to the event at all.

It is one upload, two places it shows up

Upload a cover photo once from the event dashboard and it appears at the top of timeandspace.app/e/[your-event], the one public URL every event has. The same image also becomes the link preview card: when a guest pastes the event URL into WhatsApp or posts it to Instagram Stories, the preview that renders, image, title, description, comes from that same photo.

This matters because most guests never see the gallery page load slowly or not at all. They see the link preview first, in the chat thread or the feed post, and decide whether to tap it based on that. A blank grey placeholder where a photo should be is the most common reason a share gets scrolled past.

Why it still shows up even though the photo bucket is private

Event photos live in a private Supabase Storage bucket, which is correct for guest photos that should never be guessable from a URL. A cover photo needs the opposite property: it has to be fetchable by WhatsApp's and Facebook's own crawlers, which do not authenticate as anyone. TIME&SPACE solves this with a small proxy route that serves the cover image publicly, cropped to the 1200 by 630 canvas every link-preview card expects, without ever exposing the rest of the bucket. Replace the cover photo and the preview updates the next time a platform re-fetches the link, which is typically the next time someone shares it.

What to actually put in it

A link preview renders small, often no wider than a phone screen inside a chat bubble. A cover photo that looks great full-size but depends on fine detail to read, a wide crowd shot where no single face or moment stands out, loses most of its impact at that size. A photo with one clear subject, a stage, a crowd close enough to read as a crowd, a recognisable venue shot, holds up better once it is compressed into a thumbnail.

Not Event Branding, and not gated behind it

It is worth being precise here because the two get confused. Event Branding is the custom colour scheme and custom font applied to the guest gallery pages themselves, and that is ADVANCED and PRO only. The cover photo, like the organiser logo and the event tagline, comes with every paid plan including STARTER. You do not need to upgrade to put a real photo at the top of your event page or in its link previews.

The short version

The cover photo is not a detail. It is the first thing a guest sees of your event, whether they see it on the gallery page or in the chat message that brought them there, and it is included on every plan from day one.
