Event Team Roles: Who Can Do What on Your Event
TIME&SPACE · Organiser's Playbook
An event is rarely run by one person. TIME&SPACE lets an owner add team members and photographers to an event, each with a different set of permissions, and team size is unlimited on every plan.
Event Team Roles: Who Can Do What on Your Event
In short: Every event has an owner, and the owner can add team members and photographers, each with a different set of permissions. A team member manages the event almost like the owner does. A photographer can upload and tag photos but cannot touch settings or the event itself. Team size is unlimited on STARTER, ADVANCED and PRO alike.
A festival with one photographer and a conference with a run-of-show coordinator, three shooters and someone managing sponsor logos are not the same job, but they use the same event. TIME&SPACE handles that by attaching a role to every person on an event, not just a single login shared between everyone involved.
The three roles
Owner. The person who created the event, or whoever an owner has promoted. An owner can do everything: upload and delete photos, change visibility, manage settings, access analytics, re-run face indexing, invite and remove people, manage tags, and delete the event outright. Only an owner can promote someone else to owner, and an owner cannot be removed from their own event.
Team member. Nearly everything an owner can do, with one exception: a team member cannot delete the event. They can upload, delete photos, change settings, pull analytics, re-index faces, invite other people, and manage tags. This is the role for a co-organiser, an agency account manager, or anyone running the event day-to-day who should not have the power to delete it.
Photographer. A narrower role built for exactly what the name says. A photographer can upload photos, delete their own uploads, change a photo's visibility, and tag photos. They cannot open event settings, cannot access analytics, cannot re-run face indexing, cannot invite anyone else, and cannot manage other collaborators. It is access to the camera roll, not the dashboard.
How someone gets added
From the event's settings page, an owner or team member enters an email and picks Team Member or Photographer. If that email already has a TIME&SPACE account, they are added immediately and get a notification email. If it does not, they get an invite email with a registration link, and the role is waiting for them the moment they sign up. Only an owner can hand someone else the owner role, and that option only appears once they are already on the team.
No seat limit, on any plan
Team size is unlimited on every plan, STARTER included. A one-photographer wedding and a fifteen-person festival crew cost the organiser the same per seat: nothing. The plan limits that do apply, guests, photos and retention, are listed on STARTER, ADVANCED or PRO; who you bring onto the event is not one of them.
Why photographers get a narrower role by default
A photographer is usually hired for one event and may work with several organisers across a season. Giving them upload access without giving them the organiser's settings, guest analytics or billing means an event can bring in outside help without handing over the keys to the account. If a photographer later becomes a regular collaborator an owner trusts with more, promoting them to team member takes one click, no re-invite needed.
