Four Products That Share One Label

Organiser pays, guests receive. The organiser buys the service for the event, a photographer uploads, and every guest scans a QR code, takes a selfie and sees only the photos they are in. Guests pay nothing. TIME&SPACE and Memento work this way.

Participant pays. The service supplies or hosts the photography and each participant buys their own photos. The organiser pays little or nothing. Sportograf works this way for endurance sport, and GetPica offers a guest-paid marketplace alongside its business licence.

Event marketing with photos. Photos are the means, and the goal is reach and registrations: attendees share branded images that bring in the next audience. Premagic is built this way.

Guest upload. Guests are the photographers. They scan a code and add their own photos to a shared gallery or live screen. Fotify is built this way, and it suits events with no hired photographer.

Six Questions to Ask Before You Choose

1. Who pays? If your photography budget is zero, only a participant-pays model gets you coverage. If you want guests to receive their photos free as part of the experience, you want organiser-pays.

2. Do your guests wear numbers? At a race, bib numbers are the best way to match photos to people. Everywhere else, a selfie is.

3. Who supplies the photographers? Some services bring their own. Others, including us, work with your photographer, and we also run an agency if you need one.

4. Where is the face data processed, and for how long is it kept? In the EU, a face template is special-category data under Article 9 of the GDPR. Ask where it is processed, how long the selfie and the face index are kept, whether consent is recorded before any scan, and for a data processing agreement. Ours: processed in the EU, consent recorded before any scan, the selfie deleted within 30 days, and a data processing agreement with GDPR Article 28 terms available on request.

5. Can you see the price? Three of the six publish no price, which means a sales call before you can build a budget. That is a legitimate way to sell. It is also worth knowing before you start.

6. How long does the gallery stay open? Guests come back to their photos weeks later. Ours stays live for 365 days on every plan.
